The Data Transfer feature in Krayin CRM helps you import bulk records — such as Leads, Products, and Persons using a simple .csv
file. This is useful when you’re migrating data from another CRM or updating a large number of records at once.
Step-by-Step Guide: How to Import Data in Krayin CRM Using the Data Transfer
Step 1: Redirect to Data Transfer from the Krayin admin panel.
Login to your Krayin CRM admin panel and navigate to:
Settings → Data Transfer
After clicking on Data Transfer, you will be redirected to the Imports page. Here, click on the Create Import button to begin the import process.
Step 2: Fill the Create Import Form
After clicking the Create Import button, you will see the import form as shown below:
Below is a detailed breakdown of all the fields available in the Create Import form. Each field plays a specific role in helping Krayin understand what and how to import:
Type: Select what kind of data you’re importing — Persons, Leads, or Products.
Download Sample: Downloads a ready-made CSV file template based on the selected type.
File: Upload your CSV file that follows the sample structure.
Action: Choose to either create new records, update existing ones, or do both.
Validation Strategy: Decide whether the import should stop or skip errors during processing.
Allowed Errors: Define how many errors can occur before the import fails (default: 10).
Field Separator: Set the character used to separate fields in your CSV (usually a comma).
Process in Queue: Enable to import large files in the background without blocking your session.
Once all fields are filled correctly and the file is uploaded, click Save Import to proceed with validation and final import execution.
Step 3: Validate the Data
Click on Validate Data
Step 4: Import the Data
After successful validation, click on Import to begin the actual import process. The system will begin processing the records as per your configuration.
- If the validation passes, you will see the message:
“Your import is valid. Click on Import to start the import process.” - Review the summary displayed:
- Total Rows Processed
- Total Invalid Rows
- Total Errors
Once the import is complete, Krayin displays a summary that includes:
- Total Records Created
- Total Records Updated
- Total Records Deleted
Step 5: View Imported Data
After completing the import, the imported data will be visible in Krayin CRM under their respective sections such as Leads, Contacts, or Products.
You can now search, filter, or edit the imported records as needed to ensure everything was added correctly.
Best Practices & Notes
- Always use the Download Sample option to format your CSV correctly.
- Use Create/Update for mixed data (new + existing records).
- If validation fails, download the Error File to check which rows failed and why.
- Prefer enabling Process in Queue for larger files to prevent timeout issues.
